So what does an event coordinator do? An event coordinator plans and manages all the details of an event, from the initial idea to the execution. They handle room layout, managing budgets, working with suppliers, organising schedules and making sure everything runs smoothly on the day. Ultimately, their goal is to bring their client’s vision to life in the most efficient way possible.

Here at the National Conference Centre, our event coordinator, Charlotte is the face you’ll meet if you’re looking to organise an event with us. With over four years’ experience in hospitality and events, Charlotte brings passion, professionalism and creativity to every booking. She has organised a wide range of events from intimate business meetings to large-scale conferences.

Charlotte’s Path to the NCC
Charlotte joined NCC as our Sales and Events Planner in 2024, after three years as a sales and events coordinator at the Forest of Arden Hotel and Country Club. Her role encompasses everything from your first phone call to post-event feedback:
- First contact and enquiry management: Charlotte responds promptly to new enquiries. After initial contact and gaining an understanding of the vision behind your event, we can provide a detailed proposal.
- Detailed planning: She organises site visits, prepares bespoke proposals and closely collaborates with our operations team to finalise room layouts, such as AV requirements.
- Final checks and on-the-day support: She oversees any last minute changes and chases up final details for upcoming events. On the day she will be on hand to help and ensure a seamless execution.
What does your day-to-day look like as an event coordinator?
“I arrive at 8:30 AM, dive into my inbox to handle new enquiries, then review upcoming events and chase any outstanding details. I spend time calling clients to arrange show rounds and get their latest updates. Afternoons are for site visits or liaising with our operations team to finalise upcoming events.
What has been your most memorable event to plan at the NCC and why?
“My first big NCC event was a gala dinner for 300 guests featuring a cabaret show. It was complete with an animated elephant in the room, champagne-dress waiters and West End singers and dancers. It was unlike anything I’d seen before and great to organise.”
What’s your favourite part of coordinating events at the NCC?
“Building relationships with clients and then hearing their positive feedback after the event is priceless.”
